Job Description

As a Desk Operations Specialist, you will play a critical role in ensuring the smooth operation of our clinic by providing excellent customer service and administrative support. This is a part-time position, 0.8 FTE, with the potential for growth within our organization. We are looking for a detail-oriented and self-motivated individual with strong communication skills and a passion for helping others.   1. Greet and welcome patients, visitors, and staff in a warm and professional manner.
  2. Provide exceptional customer service by answering phone calls, responding to inquiries, and addressing concerns.
  3. Schedule and confirm appointments for patients, ensuring accuracy and efficiency.
  4. Maintain patient records and update information as needed.
  5. Collect and process payments, accurately documenting financial transactions.
  6. Collaborate with medical staff to ensure timely and effective patient care.
  7. Coordinate with other departments to ensure smooth and efficient clinic operations.
  8. Keep reception area clean and organized, creating a welcoming and comfortable environment for patients.
  9. Monitor and order office supplies as needed.
  10. Assist with administrative tasks such as data entry, filing, and other duties as assigned.
  11. Continuously strive to improve processes and procedures to enhance the patient experience.
  12. Maintain a high level of confidentiality and professionalism when handling sensitive information.
  13. Attend training and development opportunities to enhance skills and knowledge.
  14. Adhere to all clinic policies and procedures, ensuring compliance with regulatory and legal requirements.
  15. Demonstrate a positive attitude and work collaboratively with team members to achieve common goals.
  16. Take initiative to identify and resolve issues or challenges that may arise.
  17. Maintain a flexible schedule to accommodate the needs of the clinic.
  18. Act as a brand ambassador for Mayo Clinic, promoting the organization’s values and mission.
  19. Seek opportunities for personal and professional growth within the organization.
  20. Follow all safety protocols and procedures to ensure a safe and healthy work environment.

Job Qualifications
  • Minimum Of 2 Years Experience In A Healthcare Setting, Preferably In A Desk Operations Or Administrative Role.

  • Bachelor's Degree In Business Administration, Healthcare Administration, Or A Related Field.

  • Strong Organizational And Time Management Skills, With The Ability To Prioritize Tasks And Manage Multiple Projects Simultaneously.
