  1. Provide high-level administrative support to the Provost, managing their complex schedules, coordinating meetings and events, and ensuring the smooth operation of their office.
  2. Act as the main point of contact for the Provost, handling all incoming communication, prioritizing and responding to emails, phone calls, and requests in a timely and professional manner.
  3. Maintain the Provost's calendar and schedule, including arranging and coordinating meetings, conferences, and travel arrangements.
  4. Prepare and edit correspondence, reports, and presentations for the Provost, ensuring accuracy and consistency.
  5. Conduct research and gather information as needed to assist the Provost in decision-making and strategic planning.
  6. Serve as a liaison between the Provost and other university departments, external stakeholders, and community members.
  7. Anticipate needs and proactively identify potential issues that may arise, taking appropriate action to ensure smooth operations.
  8. Manage confidential and sensitive information with discretion and professionalism.
  9. Maintain and organize files, records, and documents related to the Provost's office.
  10. Assist with special projects and initiatives as assigned by the Provost.
  11. Collaborate with other members of the administrative team to ensure seamless support for the Provost.
  12. Continuously seek opportunities to improve processes and procedures to increase efficiency and effectiveness.
  13. Stay updated on university policies, procedures, and initiatives to accurately represent the Provost and the university.
  14. Demonstrate a strong commitment to excellence and professionalism in all interactions and tasks.
  15. Represent the Provost and the university in a positive and professional manner at all times.

Job Qualifications
  • Bachelor's Degree In A Relevant Field Such As Business Administration, Public Administration, Or Communications.

  • Minimum Of 5 Years Of Experience As An Executive Assistant Or In A Similar Role, Preferably In A Higher Education Institution.

  • Exceptional Organizational And Time-Management Skills, With The Ability To Handle Multiple Tasks And Prioritize Effectively.

  • Excellent Communication And Interpersonal Skills, With The Ability To Interact With A Diverse Group Of Stakeholders, Including Senior-Level Executives And Faculty Members.

  • Proficiency In Office Software And Computer Systems, Including Microsoft Office, Google Suite, And Project Management Tools. Familiarity With Mit's Systems And Processes Is A Plus.
