As an Administrative Assistant 2, you will play a crucial role in providing administrative and operational support to various departments and leaders at MIT.   1. Provide administrative and operational support to various departments and leaders at MIT.
  2. Maintain and organize department files and records.
  3. Schedule and coordinate meetings, appointments, and travel arrangements.
  4. Communicate effectively with all levels of staff, faculty, students, and external stakeholders.
  5. Prepare and proofread documents, reports, and correspondence.
  6. Assist with budget management and tracking expenses.
  7. Manage office supplies and equipment inventory.
  8. Handle incoming and outgoing mail and packages.
  9. Serve as a liaison between departments and external partners.
  10. Coordinate and assist with special events and projects.
  11. Handle sensitive information and maintain confidentiality.
  12. Collaborate with other administrative assistants and team members to ensure smooth operations.
  13. Take meeting minutes and distribute to relevant parties.
  14. Proactively identify and address potential issues or challenges.
  15. Follow up on action items and deadlines.
  16. Continuously improve and streamline administrative processes.
  17. Serve as a point of contact for department inquiries.
  18. Provide excellent customer service to all visitors and callers.
  19. Complete other duties and projects as assigned.

Job Qualifications
  • Minimum Of 2 Years Of Experience In A Similar Role, Preferably In A High-Paced And Dynamic Work Environment.

  • Proficiency In Microsoft Office Suite And Other Common Office Software.

  • Strong Organizational And Time-Management Skills, With The Ability To Prioritize And Manage Multiple Tasks Simultaneously.

  • Excellent Communication Skills, Both Written And Verbal, With The Ability To Interact Professionally With Colleagues, Students, And External Stakeholders.

  • Bachelor's Degree In Business Administration, Office Management, Or A Related Field Is Preferred.
