Job Description

  1. Develop and implement policies, procedures, and best practices for the management and protection of sensitive records and information in accordance with federal regulations and guidelines.
  2. Collaborate with cross-functional teams to ensure compliance with records and information management requirements.
  3. Conduct regular audits and assessments to identify any potential compliance gaps and make recommendations for improvement.
  4. Provide guidance and training to staff on proper records management practices, including the use of electronic document management systems.
  5. Monitor and maintain the organization's electronic document management system, ensuring proper indexing, storage, and retrieval of records.
  6. Stay informed about current and emerging records management trends, technologies, and best practices to continually improve processes and systems.
  7. Develop and maintain records retention schedules to ensure appropriate retention and disposition of records.
  8. Coordinate with external agencies and vendors for the secure and timely transfer of records.
  9. Respond to inquiries and requests for records in a timely and efficient manner, ensuring compliance with applicable privacy laws and regulations.
  10. Serve as a subject matter expert on records and information management, providing expert advice and guidance to management and staff.
  11. Maintain accurate and up-to-date records of all records and information management activities.
  12. Participate in the development and implementation of disaster recovery plans to ensure the protection and recovery of critical records and information.
  13. Collaborate with legal and compliance teams to ensure records and information are properly managed in the event of litigation or regulatory investigations.
  14. Assist in the development and maintenance of information security protocols to safeguard sensitive records and information.
  15. Consistently uphold the highest standards of data integrity and confidentiality in all records and information management activities.

Job Qualifications
  • Knowledge Of Fda Regulations And Guidelines: A Records And Information Management Specialist At The Fda Must Have A Thorough Understanding Of The Agency's Regulations And Guidelines Related To Record Keeping And Information Management. This Includes Knowledge Of The Federal Records Act, Freedom Of Information Act, And Other Relevant Laws.

  • Experience With Electronic Records Management Systems: In Today's Digital Age, The Fda Relies Heavily On Electronic Records And Information Management Systems. A Qualified Candidate For This Role Should Have Experience Working With These Systems And Be Familiar With Best Practices For Organizing, Storing, And Retrieving Electronic Records.

  • Attention To Detail And Accuracy: The Fda Deals With Sensitive And Highly Regulated Information, So It Is Crucial For A Records And Information Management Specialist To Have A Keen Eye For Detail And A Strong Commitment To Accuracy. This Includes Ensuring Proper Classification, Indexing, And Retention Of Records.

  • Communication And Collaboration Skills: This Role Requires Frequent Communication And Collaboration With Various Departments And Stakeholders Within The Fda.
