Job Description

Welcome to the City of Pittsburgh's Human Resources & Civil Service team! We are currently seeking a highly organized and detail-oriented individual to join us as an Administrative Assistant. In this role, you will play a crucial role in supporting our team in various administrative tasks and ensuring smooth operations within our department.   1. Provide administrative support to the Human Resources & Civil Service team.
  2. Maintain organized and accurate filing systems for department records and documents.
  3. Assist with scheduling and coordinating meetings, interviews, and appointments.
  4. Prepare and distribute correspondence, reports, and other documents as directed.
  5. Respond to inquiries and requests from employees and the public in a timely and professional manner.
  6. Assist with the recruitment process, including posting job openings, reviewing resumes, and scheduling interviews.
  7. Coordinate and track employee onboarding and orientation processes.
  8. Maintain employee records and ensure they are up-to-date and accurate.
  9. Assist with benefits administration, including enrollment and changes.
  10. Coordinate and track employee training and development programs.
  11. Assist with payroll processing and maintain accurate records.
  12. Assist with special projects and events as needed.
  13. Monitor and order office supplies as needed.
  14. Maintain confidentiality of sensitive information.
  15. Contribute to a positive and collaborative work environment within the department.
  16. Keep up-to-date with HR and civil service policies and procedures.
  17. Continuously seek opportunities to improve and streamline processes within the department.
  18. Attend relevant training and professional development opportunities.
  19. Other duties as assigned by the HR & Civil Service team.

Job Qualifications
  • Knowledge Of Human Resources And Civil Service Policies And Procedures: The Ideal Candidate Should Possess A Strong Understanding Of Hr And Civil Service Laws, Regulations, And Processes To Effectively Support The Department And Ensure Compliance.

  • Excellent Communication And Interpersonal Skills: As An Administrative Assistant, Strong Written And Verbal Communication Skills Are Crucial For Interacting With Employees, Management, And Other Stakeholders In A Professional And Courteous Manner.

  • Strong Organizational And Time-Management Abilities: The Candidate Should Be Able To Handle Multiple Tasks And Deadlines Simultaneously, Prioritize Workload, And Maintain A High Level Of Accuracy And Attention To Detail.

  • Proficiency In Hr Software And Systems: Experience With Hris, Ats, And Other Relevant Software Is Essential For Managing Employee Data, Recruitment Processes, And Other Hr-Related Functions.

  • Previous Administrative Experience In A Human Resources Or Civil Service Setting: Prior Experience In A Similar Role, Preferably In A Government Or Municipal Setting, Would Be Beneficial In Understanding The Specific Needs And Requirements Of The Department.
