Job Description

We are currently seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office and assisting with various administrative tasks.   1. Greet and welcome visitors to the office, providing a friendly and professional first point of contact for the department.
  2. Assist with administrative tasks such as answering phones, scheduling appointments, and responding to emails in a timely manner.
  3. Maintain and organize department files, documents, and records, ensuring they are easily accessible and up to date.
  4. Coordinate and schedule meetings, conferences, and events for the department, including arranging necessary accommodations and materials.
  5. Prepare and distribute correspondence, reports, and other documents as required, ensuring accuracy and attention to detail.
  6. Provide support to department staff by assisting with tasks such as data entry, filing, and photocopying.
  7. Manage office supplies and equipment, ensuring that they are well-stocked and in good working condition.
  8. Assist with budget tracking, expense reports, and other financial tasks as needed.
  9. Act as a liaison between the department and other city departments, community partners, and external stakeholders.
  10. Handle confidential and sensitive information with discretion and maintain a high level of professionalism at all times.
  11. Continuously seek ways to improve office efficiency and streamline processes.
  12. Serve as a resource for departmental policies and procedures, and assist with training new staff as needed.
  13. Maintain a positive and collaborative working relationship with all team members and contribute to a positive work environment.
  14. Participate in special projects and assignments as assigned by department leadership.
  15. Uphold the values and mission of the City of Irvine and represent the department in a professional and courteous manner at all times.

Job Qualifications
  • High School Diploma Or Equivalent Education

  • Minimum Of 2 Years Of Administrative Experience, Preferably In A Government Or City Agency Setting
