
Executive Assistant to Vice Provost
We are seeking a highly organized and efficient Executive Assistant to provide comprehensive support to the Vice Provost at California State University San Marcos. - Provide comprehensive administrative support to the Vice Provost, including managing their schedule, coordinating meetings and appointments, and handling correspondence.
- Act as a liaison between the Vice Provost and other university departments, external stakeholders, and the general public.
- Create and maintain organized and efficient systems for managing documents, records, and other important information.
- Assist with the planning and execution of special events, meetings, and conferences.
- Conduct research and gather information to support the Vice Provost in decision-making and strategic planning.
- Prepare and edit documents, presentations, and reports for the Vice Provost.
- Handle confidential and sensitive information with utmost discretion.
- Prioritize and manage multiple tasks and deadlines effectively.
- Proactively identify and address potential issues or challenges, and suggest solutions.
- Develop and maintain positive working relationships with colleagues, students, and external partners.
- Stay informed about current trends and developments in higher education, and provide insights and recommendations to the Vice Provost.
- Continuously seek opportunities to streamline processes and improve efficiency within the Vice Provost's office.
- Represent the Vice Provost and the university in a professional and positive manner.
- Other duties as assigned by the Vice Provost.
Bachelor's Degree In A Relevant Field Such As Business Administration, Communications, Or Public Administration.
At Least 5 Years Of Experience As An Executive Assistant Or In A Similar High-Level Administrative Role.
Proven Ability To Manage Multiple Tasks And Priorities, Anticipate Needs, And Meet Deadlines In A Fast-Paced Environment.
Excellent Communication And Interpersonal Skills, With The Ability To Interact With A Diverse Range Of Individuals, Including High-Level Executives And External Stakeholders.
Proficiency In Microsoft Office And Other Relevant Software Programs, As Well As Experience With Budget Management And Event Planning.
